Supported files
How Prism checks uploaded files, formats and limits.
Prism takes video, images, audio and documents. Anything you bring in becomes searchable once it has finished processing.
Prism recognises these formats:
| Type | Formats |
|---|---|
| Video | MP4, MOV, MKV, AVI |
| Image | JPEG, PNG, WebP, GIF, HEIC, TIFF, BMP |
| Audio | MP3, WAV, M4A, FLAC, Ogg |
| Document |
Every file is checked as it processes. If one cannot be used, its row says why and offers Retry — see When a file is refused.
Recordings for a presenter or voiceover have their own formats and size limits, listed in Presenter uploads.
What the library recognises
The ASSET TYPE filter in Asset Search names six kinds of asset. Video, Image and Audio are the media you upload. Text, Research and Website are the other types the library keeps alongside them.
Two uploaders, different rules
Prism has two uploaders, and they accept different things.
| Asset Search | Inside a project | |
|---|---|---|
| File types offered | Everything | Images, video, audio, PDF and common document types |
| Size checked before upload | No | Yes |
Uploading from Asset Search
The file picker on Add to library shows every file type, and nothing is filtered before it is sent. A file Prism cannot use is refused during processing rather than greyed out at the start.
Uploading inside a project
The project uploader is stricter. It offers images, video, audio, PDFs and common document types only, and it checks the size before sending anything.
The size limit is set by your account, not fixed in the product, so a refusal quotes both figures: your file's size and the maximum. Prism names the files it skipped, and the rest of the batch continues.
Links
A pasted link has to be a full URL starting with https://, http:// or www. A www. link is upgraded to https:// for you. Bare domains, ftp: and file: addresses are rejected.
If a link parses but Prism cannot fetch it, the row reads that it could not fetch from that link and asks you to check the file is shared publicly.
When a file is refused
Each failure message says what went wrong and what to do next:
- This file isn't a playable video — the media itself could not be read
- The upload didn't finish — retry to send it again — the transfer broke
- Processing failed — retry or try a different file — the file reached Prism but could not be indexed
- Expired in queue — retry to run it again — it waited too long
Each one offers Retry on the row.
When the queue is full
Processing runs through a shared queue, and the queue has a ceiling. When it is full, the row reads Queue limit reached and says how long to wait. A message confirms that nothing was lost.
FAQ
What happens if I upload the same file twice?
The row finishes as Already in library. That is a success, not an error, and no duplicate is created.
How long does processing take?
It depends on the length of the file and how busy the queue is. The Activity tray shows an estimated wait when one is available.
